Privacy matters, especially when you’re sharing your ID and personal documents. This policy explains, in plain language, what we collect, why we collect it, who we share it with and the choices you have. It covers notaring.com and our online notarization services.

The short version

We collect only what we need to notarize your documents, take payment and keep required records.
We never sell or rent your personal information.
We delete your ID and the documents you upload within 30 days, and keep a secure copy of your notarized documents, as the rules for notaries require.
We use trusted providers to run our video calls, e-signatures, payments and website, and they can only use your information to provide their services to us.
You can ask to see, correct or delete your information at any time.

Who we are

Notaring (“Notaring”, “we”, “us”) provides online notarization in Canada. We’re responsible for the personal information we collect, and we follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

What we collect

When you book and attend an appointment:

Your name, email address and phone number
Your government-issued photo ID
The documents you upload, and the notarized or certified documents we produce
Information about anyone else joining your appointment, like other signers or witnesses
What’s shown and said during your video call, so the notary can verify your identity and, for certified copies, where your document came from
A recording of your video call. We record every call to keep an accurate record of your notarization.
Booking details, like the service, date, time and extras you choose
Payment details, like the amount and date. Your card details go straight to our payment processors, Stripe and PayPal (or Square for invoices). We never see or store your full card number.

When you contact us: what you send us by email, phone or chat.

When you visit our website: device and usage information, like your browser, IP address, the pages you visit and how you found our site, and cookies (see Cookies below).

Why we use it

To book and run your appointment, verify your identity and notarize or certify your documents
To send your documents, confirmations, reminders and updates by email or SMS
To take payment and issue receipts
To answer your questions and give you support
To keep the records we need for legal, professional and tax purposes
To keep a record of how your notarization was done, in case questions come up later. Only Notaring can see recordings. You get a copy if you add the Recording copy option.
To prevent fraud and protect you, us and others
To understand how people use our site, improve it and measure our advertising

We only use your information for these purposes, or for a new purpose you agree to.

Who we share it with

We share your information only when we need to:

Service providers that help us run Notaring: Google (Google Meet for video calls, and Google Analytics and Google Ads for site analytics and ad measurement), Adobe (Adobe Acrobat Sign for e-signatures), Stripe, PayPal and Square (payments), Tidio (website chat), and our booking, email, SMS and website hosting providers. They can only use your information to provide their services to us, and they must protect it.
People you choose, like the office you send your notarized document to, and anyone you invite to your appointment.
When the law requires it, like a valid court order, or when needed to prevent fraud or protect someone’s safety.

We never sell or rent your personal information.

Information stored outside Canada

Some of our service providers store or process information outside Canada, mainly in the United States. Your information stays protected by contract, but while it’s there, courts, law enforcement and government authorities in that country may be able to access it under their laws.

How long we keep it

We securely delete your uploaded ID, the documents you upload and any call recording within 30 days of your appointment. We keep a secure copy of your notarized documents and a record of each appointment, like the date, time and who attended, as the rules for notaries require. Payment and accounting records are kept as long as tax law requires, usually 6 years.

Your final notarized document is also emailed to you through Adobe Acrobat Sign, and Adobe keeps a copy in your Adobe account under its own privacy policy.

How we protect it

We use safeguards that match how sensitive your information is, including encrypted connections, encrypted and password-protected video calls, access limited to the people who need it, and providers with strong security standards. No system is 100% secure, but if a breach ever puts you at real risk of significant harm, we’ll let you know and report it as the law requires.

Cookies

Cookies are small files your browser stores. We use:

Essential cookies, to make the site and booking work and keep payments secure
Analytics cookies (Google Analytics), to see how people use our site
Advertising cookies (Google Ads), to measure whether our ads lead to bookings
Chat cookies (Tidio), to run our website chat

You can block or delete cookies in your browser settings. Some features, like booking, might not work without essential cookies.

Your choices and rights

You can ask us to:

Give you a copy of the personal information we hold about you
Correct anything that’s wrong
Delete your information, unless we need to keep it for legal reasons
Stop using your information for a purpose you agreed to, like marketing emails. Some information we need to provide the service.

Just email us at info@notaring.com. We’ll reply within 30 days, and we may ask you to confirm your identity first.

Changes to this policy

We’ll update this policy when our practices or the law change, and change the date at the top. If a change is significant, we’ll let you know on our site or by email.
